Most “AI productivity tips” lists are generic. These are specific: the tool, the exact use, and what to expect.
1. Turn meetings into notes automatically
Use Otter.ai or Fireflies.ai to record and transcribe calls, then have ChatGPT or Claude summarize the transcript into three sections: decisions made, action items, open questions. Stop typing notes during calls entirely.
2. Draft first, edit second
For any recurring writing task (emails, proposals, social captions), generate a rough draft with ChatGPT or Claude first, then edit. Editing existing text is faster than staring at a blank page, even when the draft needs real changes.
3. Batch similar tasks with a saved prompt
If you write the same type of content weekly (status updates, client emails), save a reusable prompt template instead of re-explaining context every time.
4. Use Grammarly for the last pass, not the first
Grammarly catches tone and clarity issues well, but it works best as a final polish step after the substance is already right, not as a drafting tool.
5. Let Notion AI clean up messy notes
Paste raw meeting scribbles or voice-memo transcripts into Notion AI and ask it to structure them into a proper doc. This alone can save 20-30 minutes a week for anyone in frequent meetings.
6. Set a two-tool limit while you’re learning
Adding five AI tools at once means mastering none of them. Get fluent with one or two before expanding.
7. Measure the actual time saved
Track how long a task took before and after for two weeks. If it’s not measurably faster, the tool isn’t the problem, or it’s not, and you’ll know which.
