n8n for Small Business: Your First Self-Hosted Workflow and What It Costs to Run

Must read

Self-Hosted n8n Is Free Software, Not a Free Service

Quick verdict: try n8n on your own computer first. It takes two commands and costs nothing. Move it to a server only if someone on your team is comfortable maintaining one. If nobody is, n8n Cloud at €20 a month is the cheaper option once you count the hours.

This guide is part of our AI Automation for Small Business series.

Who Should Self-Host, and Who Should Not

Your situation Recommendation
Nobody on the team has managed a server n8n Cloud, or stay on Zapier or Make
You want to learn n8n before paying Run it locally with Docker
You have long workflows that run thousands of times a month Self-hosting can save real money
Data must stay on infrastructure you control Self-hosting is the reason n8n exists for you
You have a developer or technical operator with spare hours Self-hosting is reasonable

If you are still choosing a platform, read Zapier vs Make vs n8n first.

What Self-Hosted and Cloud Each Cost

Option Price What you get What you handle yourself
Community Edition, self-hosted Free software plus your server cost The full workflow builder with no execution cap from n8n Server, security, HTTPS, backups, updates, uptime
n8n Cloud Starter €20/month billed annually 2,500 workflow executions, unlimited steps, 5 concurrent executions Nothing on the hosting side
n8n Cloud Pro €50/month billed annually 10,000 workflow executions Nothing on the hosting side

Source: n8n pricing. An execution is one full run of a workflow, however many steps it has. That is why n8n is cheap for long workflows.

What the free Community Edition leaves out

According to n8n’s documentation, the Community Edition does not include projects, workflow and credential sharing between users, single sign-on, environments, Git-based version control, external secrets, log streaming, custom variables, external storage for binary data, or multi-main mode. Registering your instance with a free licence key unlocks workflow folders, debug in editor, and custom execution data. See Community Edition features.

For a small team the one that matters is sharing. On the Community Edition, workflows and credentials belong to whoever created them. Plan for one builder account.

Step 1: Try It Locally With Docker

Install Docker Desktop, which is available for Windows, Mac, and Linux. Then run the two commands from n8n’s Docker guide, replacing the timezone with your own:

docker volume create n8n_data

docker run -it --rm \
 --name n8n \
 -p 5678:5678 \
 -e GENERIC_TIMEZONE="Europe/London" \
 -e TZ="Europe/London" \
 -e N8N_ENFORCE_SETTINGS_FILE_PERMISSIONS=true \
 -e N8N_RUNNERS_ENABLED=true \
 -v n8n_data:/home/node/.n8n \
 n8nio/n8n

Open http://localhost:5678 in your browser and create the owner account. The first command creates a storage volume, so your workflows survive when the container stops.

A local install is for learning. It stops when your computer sleeps, and outside services cannot reach it, so webhooks from other apps will not arrive. That is fine for a first workflow.

Step 2: Build a First Workflow

A good first build is an enquiry form that is sorted by AI and logged. It uses only built-in nodes and teaches the four ideas you need: trigger, AI step, branching, and output.

  1. n8n Form Trigger. Add fields for name, email, and message. n8n gives you a test URL for the form.
  2. AI step. Add a Basic LLM Chain node and connect a chat model with your own API key from OpenAI, Anthropic, or Google. Prompt: “Classify this enquiry as one of: sales, support, partnership, spam. Then write a one-sentence summary. Return JSON with the fields category and summary. Enquiry: [message]”.
  3. Switch node. Create one output per category, plus a fallback output for anything unexpected.
  4. Google Sheets node on the sales, support, and partnership branches: append a row with date, name, email, category, and summary.
  5. Send Email or Slack node on the sales branch, so a person sees new sales enquiries immediately.
  6. No action on the spam branch.

Submit the test form four times with different messages and open the Executions list to see what each node received and returned. Reading executions is the most useful n8n skill to build early.

You pay your AI provider separately for the model calls. n8n does not include them.

Step 3: Add an Error Workflow

Create a second workflow that starts with the Error Trigger node and sends you an email or Slack message containing the failed workflow’s name and error. Then set it as the error workflow in the first workflow’s settings. From then on, a failure in production tells you about itself. Error workflows run for active workflows, not for manual test runs. See n8n’s Error Trigger documentation.

Step 4: Decide Whether to Move It to a Server

To run workflows around the clock and receive webhooks, n8n needs to be on a server with a public address. That adds work the local install hides:

  • A server that stays on, with Docker installed.
  • A domain name and HTTPS, usually through a reverse proxy. n8n provides a Docker Compose guide that covers this.
  • Backups of the n8n data volume, including the encryption key. Without the key, saved credentials cannot be read after a restore.
  • Updates. n8n releases frequently. Updating means pulling the new image and recreating the container, as described in n8n’s update guide. Back up first.
  • Security. A strong owner password, two-factor authentication, a firewall, and operating system updates. Your n8n instance holds the keys to every app you connect.

The Honest Cost Comparison

The subscription you avoid by self-hosting is €20 a month on the Starter plan. Against that, count:

  • the monthly server fee,
  • the hours for first setup,
  • about an hour a month for updates, backup checks, and looking at logs,
  • the cost of an outage when the one person who understands the server is away.

Multiply the hours by what that person’s time is worth. For many small businesses the answer is that Cloud is cheaper until execution volume grows well past the Starter allowance, or until data control is a requirement.

Self-hosting pays off when volume is high. A 15-step workflow that runs 20,000 times a month is far beyond Cloud Pro’s 10,000 executions, and on a task-priced platform it would be hundreds of thousands of billable steps. On your own server the limit is the server.

Common Mistakes

1. Running production on a laptop

It works until the lid closes.

2. No backup of the encryption key

Workflows can be re-imported. Credentials cannot be decrypted without the original key.

3. Exposing n8n to the internet without HTTPS and a strong login

Anyone who gets in has access to every connected account.

4. Never updating

Security fixes arrive through updates. A year-old instance is a risk.

5. Choosing n8n to save €20

If the saving is the only reason, the time cost will exceed it.

FAQ

Is self-hosted n8n really free?

The Community Edition software is free to run. You pay for the server and for the time to maintain it.

Do I need to know how to code?

Not to build workflows. You do need to be comfortable with a command line, Docker, and basic server administration to host it safely.

Can I start on n8n Cloud and move to self-hosting later?

Workflows can be exported and imported between instances. Credentials need to be set up again.

Can two people build workflows on the free edition?

Workflow and credential sharing between users is not part of the Community Edition, so plan around one builder.

Does n8n include AI model usage?

No. You connect your own API key from an AI provider and pay that provider for usage.

Final Recommendation

Run the two Docker commands, build the enquiry-sorting workflow, and spend an afternoon with it. If you enjoy it and have someone to own the server, self-host. If the hosting section above made you uneasy, use n8n Cloud or stay with Zapier or Make. Choosing the tool your team can maintain is the cheaper decision.
